By accessing or using our Services, you acknowledge that you have read and understood this Policy. If you do not agree with the practices described herein, do not use our Services.
If you use our Services on behalf of a company, property, or other entity, "you" refers to that entity, and you represent that you have the authority to accept this Policy on its behalf.
1. Information We Collect

- Vehicle registrations per resident
- Account activity (last login, portal usage)
1.5 Visitor Data
- Visitor license plate number and vehicle information
- Apartment or unit being visited

- Visitor pass duration and expiration
- Visit count per plate within configurable time windows

- Citation type and violation details
- Citation photographs (of the violation and/or vehicle)

1.7 Payment Information
- Payments for paid parking permits and citation fees are processed through Stripe, a PCI DSS Level 1 certified payment processor
- We do not store full credit card numbers on our systems
- We store Stripe transaction identifiers, payment amounts, invoice codes, and payment status for record-keeping purposes
1.8 Photo and Media Data
- Citation photographs uploaded by enforcement personnel
- Ad images uploaded by advertisers
- Images are stored securely in cloud storage (Microsoft Azure)
- Photos may incidentally capture persons, surroundings, or other vehicles in the frame
1.9 Voice and AI Data
- The Platform includes an optional AI conversational assistant that may process voice or text input
- Voice input for license plate entry uses speech-to-text processing
- Voice and text interactions with the AI assistant may be processed and logged
- These features are used for training and user assistance purposes

2. How We Collect Information
2.1 Directly from You
- When you create an account or register for Services
- When you enter data into the Platform (permits, vehicle information, resident details, visitor registrations, citations)

2.2 Automatically Through the Platform
- Activity Logging: The Platform automatically logs user actions, system events, and data changes with timestamps and user identification
- Audit Trail: Every change to a permit, citation, resident record, or configuration is logged with character-level detail, the user who made the change, and a server-controlled timestamp that cannot be backdated
- Visit Tracking: The Platform tracks visitor permit frequency to enforce per-plate visit limits and identify usage patterns
- Email Tracking: Transactional emails may include delivery tracking (sent, delivered, bounced)
2.3 From Third-Party Service Providers
- Payment Processor (Stripe): Transaction confirmation and payment status
- Integrated Systems: When your property is connected to PatriotLPR (license plate recognition) or other PPOA Group products, permit data may be accessed by those systems for enforcement purposes
3. How We Use Information
3.1 Providing and Operating the Services
- Authenticating users and managing accounts
- Creating, managing, and tracking parking permits
- Processing permit applications and approvals
- Managing resident accounts and self-service portal access
- Tracking visitor parking frequency and enforcing visit limits
- Issuing and managing citations
- Processing payments for paid parking and citation fees
- Generating reports, analytics, and data exports
- Delivering email notifications
- Providing AI assistant functionality for user support and training
- Delivering targeted advertisements within the Platform (see Section 5)

We may share aggregate, non-personally-identifiable information with advertisers. We do not share personal information with advertisers.
4.5 Legal Requirements
We may disclose information if we believe in good faith that disclosure is necessary to comply with applicable law, enforce our Terms of Service, or protect the rights, property, or safety of Company, our customers, or the public.
4.6 Business Transfers
In connection with a merger, acquisition, or similar transaction, information may be transferred to the successor entity.
4.7 With Your Consent
We may share information with third parties when you provide explicit consent.
5. Advertising
The Platform includes a built-in advertising system. Ads may be targeted based on page context, user type, and geographic area. We do not sell your personal information to advertisers.

We retain information for as long as necessary to provide the Services, comply with legal obligations, resolve disputes, and enforce our agreements. Customer data belongs to the customer.
7. Data Security
We implement security measures including encryption in transit (HTTPS/TLS), role-based access controls, server-controlled timestamps, cloud security (Microsoft Azure), and PCI DSS Level 1 certified payment processing (Stripe). No method of transmission is completely secure, and we cannot guarantee absolute security.

9. State-Specific Privacy Rights

The Services are not directed to individuals under the age of 18. We do not knowingly collect personal information from children.
